Describe what triggers the work, which tools it passes through, and who waits for the outcome. Re-entering an order, chasing an approval, or reconciling status updates are useful starting points. The goal is a clearer workflow with an accountable owner.

What to include in an automation brief
- Trigger and completion: define when a run starts and how a person knows it has finished.
- Data and access: list the systems, required fields, permissions, and available integration access.
- Rules and ownership: describe routing, approvals, timeouts, and who can resolve an exception.
- Visibility: specify the status, history, and reporting that operators need.
Possible project scope includes internal tools, API connections, data synchronization, and operational dashboards. Feasibility depends on the systems and access available.
Design the exception path
A rejected request, unavailable approver, duplicate event, or failed connection should have an agreed outcome. Record what must stop, what can be retried, and what needs human review. Define how operators recognize a failure and resume work without silently duplicating it.
For an AI-assisted step, identify where a person must check the output before it changes a record or triggers an action. Treat uncertain or missing information as a review case.
Agree how to judge a pilot
- Record the current workload, handling steps, exception rate, and the period measured.
- Choose one bounded workflow and define acceptance checks with its owner.
- Compare the same tasks after the pilot, including review time and rework.
- Include implementation, licenses, maintenance, and training when assessing value.
